1. What personal data do we collect?

When you register as a fighter via our website, we ask you to fill in certain details on our registration form. This includes the following personal data:

  • First and last name
  • Email address
  • Phone number
  • City and province
  • Martial arts experience
  • Height and weight

Additionally, we automatically collect certain anonymous or aggregated data (such as your IP address or browser preferences) when you visit our website, using cookies.

2. Why do we collect this data?

We use your data exclusively for the following specific purposes:

  • Matchmaking: We use your physical characteristics (height, weight), location, and martial arts experience to find a fair, safe, and suitable opponent for you.
  • Direct contact via WhatsApp: We use your phone number to maintain quick and accessible contact with you regarding your registration, the matchmaking process, and the event.
  • Newsletters: We use your email address to keep you informed about news, events, and updates related to GRPL. You can unsubscribe from this at any time.

3. Do we share your data with third parties?

Your privacy is our priority. We never sell your data to third parties and we do not simply publish your data publicly on our website.

For the proper functioning of our services, we only share data in the following situations:

  • With your (potential) opponent: Once we have found a suitable match for you, we will only share your relevant data with the opponent after we have explicitly asked for your consent.
  • Service providers (Processors): We use third-party systems to run our platform. This includes our website hosting, WhatsApp (Meta) for communication, and email software for the newsletter. These parties process data solely on our behalf.

4. How long do we keep your data?

We do not keep your personal data longer than necessary for the purposes for which it was collected:

  • Registrations and database: The data you provide for matchmaking is kept for a standard period of 6 months. After these 6 months, we will proactively contact you to ask if you wish to remain in our database for future events, or if we should delete your data.
  • Newsletter: We keep your email address for the newsletter until you unsubscribe (via the unsubscribe link at the bottom of the email). Upon unsubscription, we will remove your data from the mailing list.

5. Cookies and similar technologies

Our website uses cookies. These are small text files placed on your device. We use:

  • Analytical cookies (Google Analytics / Site Kit): We use these to anonymously track how visitors use our website, allowing us to continuously improve the platform.
  • Third-party tracking cookies (YouTube): Our website features embedded YouTube videos. When you watch these videos, YouTube (part of Google) may place cookies to analyze your viewing behavior or personalize ads. We have no control over this.
